How to Write the perfect "Thank You" Card

Have you received a bundle of gifts and goodies this holiday season? If so, it’s probably time to write out “Thank You” cards. Don’t procrastinate - you want your cards to arrive before the magic of the season has passed by. To help you this year, we have a simple guide for how to write the cards, with example templates at the bottom!

Start the card
As you start your card, you will need to know a few key details. First, you need the Name and Address of your recipient. Then, you need to choose the tone that you want to strike (Thankful, Happy, Excited, Sincere). Finally, you will want to make note of any gifts, considerations, or personal notes that you want to include for each person’s card. One very important thing to remember is that you absolutely must get the address correct, whether that’s a physical address or an email address. You don’t want your card to get lost in the mail and take longer, or worse, not get there at all.

Write your message
Onto the fun part - it’s time to write your cute and thankful message! Don’t get lost in the weeds here, we’re not writing an essay. It should be a quick and simple “Thank You for something” with one or two comments after that.
* Quick Tip: Draft out your message before committing ink to paper. This way, you know exactly what you want to say, and you can check for errors before writing on the actual card. You want your Thank You card to come across as thoughtful and deliberate. You should strive to not have typos or other grammatical errors which may require you to cross them out, or start your writing over on a whole new card.

First, who are you thanking? Is this person a client? Your coworker? A family member or friend? Depending on your audience, you will craft your card message to suit them.

Start the card off with a salutation, such as “Dear Ms. Lastname,” or “Dear Firstname” depending on how well you know the person. Then, move swiftly on to say “thank you.” You want to make sure that “thank you” is in the first one or two sentences, so they know exactly why this card is in their inbox.
* Quick Tip: If you are sending the card as an email, include the phrase “Thank You” in the subject line. It is more likely to stand out that way! Adding a relevant emoji or two may also help your message stand out from the crowd.

Here are some examples of how to start the message:

Thanking Your Client
Thanks for putting your trust in me.
Thanks for being a loyal, long-term client!
I enjoy working together with you and appreciate your help.
Thank you for working with me.

Thanking Your Coworker
I admire your work.
Excellent job on that project!
Glad you are part of our team.
I’ve learned so much from you!
You’ve taught me so much!

Adding some specifics and feeling
Thank you for hosting the holiday party. We had a fantastic time.
I am grateful for your warmth and hospitality.
Thank you for the lovely candles. They go perfectly with/alongside my [object/item] [location].
Thank you for your consideration and for listening to me. It really means a lot to me.
Thank you for the gift card to my [favorite shopping place]. It meant a lot to me.
Thank you! With the freezing weather in Boulder, the mittens were a very thoughtful gift.
You put a lot of time and energy into getting your home ready for my visit, and I appreciate your hospitality and kindness.

After your “Thank You” statement, you may want to add another personal touch or invitation to a later conversation. If so, consider adding middle content that relates to your audience.

Middle content
I/We would love to meet up for [coffee/lunch/dinner] soon. Let me/us know when you’re free!
If you need a friend/consultant, don't hesitate to call. I’m here for you!
Give me/us a call before you come so I/we can clear my/our schedule.

And, finally, you will end your card with a pleasant thought or consideration for the future. Write a one-line thought about what you and this person may look forward to in the near future, or when you will see them next.

Make it personal (or not)
Possibly one of the most important aspects of a Thank You card, you must decide whether to include a personal note or not. This is highly influenced by how strong your relationship is with the recipient. If you frequently talk to them or have a phrase that you both commonly use, this would be the portion of the letter where you include it.

Ending phrases
I look forward to seeing you soon.
Please keep me informed of your future projects and work.
I’m always here to answer any questions or concerns you may have.
Can’t wait to see you soon [or on a specific date].

Closing statement
As you wrap up the letter, you want to finalize it with a closing/sign-off statement.

Here are some wonderful examples of closing phrases:
With love,
Wishing you the best,
Warm wishes,
Thanks again,
Thank you once more,
Sincerely,
Friends always,
Friends forever,
Pals forever,
Warmly yours,

Apply your signature
This part is simple - sign your name at the end of your card. A signature is typically written in cursive, but if you prefer to print, that works too.

Warmly yours,
Jane Doe

Seal it and send it
We’ve made it to the final phase for this card. It’s time to seal and send it! If you’ve done the work upfront of collecting names and addresses, this should be simple. You will need to write that contact information on the Thank You card envelope, add your return address, and seal the whole thing up nice and neat. If you have a cute stamp or stickers, these can add a level of personalization to the outside envelope as well!
